TITLE: Administrative AssistantREPORTS TO: Vice President of Sales and MarketingMINIMUM QUALIFICATIONS Computer proficiency preferably in home health or similar operation. Able to use a variety of software applications. Minimum of High school diploma or G.E.D. Highly attentive to details and accuracy. Has excellent observation and communication skills. Is flexible and cooperative in fulfilling all obligations. Positive attitude and has an ability to deal tactfully with the community and company personnel. Excellent interpersonal and phone skills.SUMMARY OF JOB RESPONSIBILITIESThe administrative assistant is responsible for clerical duties in the branch office as an assistant to the executive assistant to the Vice President of Sales and Marketing.RESPONSIBILITIES AND DUTIES Manage reports received from Certify, RSL, and Central Services Department. Maintain reports including supplies and cost for marketing, Central Services Coordinator, and Regional Number Report. Audit and manage petty cash and expenses using Certify. Manage expirations for all marketing employees. Manage and track disciplinary reports and evaluations of marketing team. Tracks monthly marketing supply order and cost. Completes orders as requested by Admission Coordinator. Maintains weekly credit changes as approved by Vice President of Sales and Marketing and maintains priority accounts quarterly for Admission Coordinators. Assists Business Development with digital marketing and support on marketing email. Assists Regional AC as needed with forms, orders, reservations and meetings. Maintains Admissions Coordinator files. This position has been designated Class III office position (see Infection/Exposure Control Plan). Employees performing Class III office position duties are not at risk for exposure to blood borne pathogens and other potentially infectious materials. All Class III office position employees will not be offered Hepatitis B vaccination.PHYSICAL REQUIREMENTS Visual/hearing ability sufficient to comprehend written/verbal communication. Ability to effectively deal with stress.CONTINUING EDUCATION REQUIREMENTSAgency personnel are expected to participate in appropriate continuing education as may be requested and/or required by their immediate supervisor. In addition, agency personnel are expected to accept personal responsibility for other educational activities to enhance job related skills and abilities.
